The Company

a) Welcome to the website (the Site) of Trek Lanka (Private) Limited. In the following terms and conditions, the terms “Trek Lanka”, “we”, “us” and/or “our” refer to Trek Lanka (Private) Limited.

b) The “you” is the person or persons who have made a confirmed booking with Trek Lanka.

c) Trek Lanka (Private) Ltd is a limited liability company incorporated in Sri Lanka under the registrar of companies with the registration number PV 81320 and registered with SLTDA (Sri Lanka Tourism Development Authority as a Travel Agency – SLTDA/SQA/TA/01927.

Our contract

By making a reservation with Trek Lanka, you acknowledge and agree to our booking conditions, and we will accept your booking under these terms.

Price Policy

We quote our prices in USD or EURO. We commit to maintaining our quoted prices. However, we reserve the right to amend prices in the event of significant changes in fuel prices, exchange rates or government taxes.

Group size

Our trips are subject to a minimum group size, which is 4 and the maximum will be 10. We may, at our discretion, operate with smaller numbers.

Acceptance of booking and payments

Day Hikes 

You can book your day hike 4 weeks in advance by sending our duly filled booking form and does not require payment but we confirm the hike only when we have received payment in full along with your confirmation by e-mail 2 weeks before the walk date.

Multi-day hikes, Short breaks and Classic tours 

Send in your enquiry at least 2 months in advance by submitting our duly filled booking form. (However, we may still entertain last-minute bookings subject to availability of accommodation).

Upon receiving your inquiry, we will send you a ballpark estimate within 7 working days. We will confirm your booking once you send us your confirmation by email, along with a non-refundable reservation fee of USD 215 or €200 per person. Upon receipt of the reservation fee, we will send you the ultimate cost within 7 working days and start preparing for your tour. You should make the balance of payment no earlier than 35 days, but not later than 21 days before your arrival. If you cancel your booking, we will consider it cancelled and we will not refund the reservation fee. You will receive the detailed itinerary/roadbook in PDF format 2 weeks before your arrival.

For bookings made within 30 days of arrival in Sri Lanka, full payment is required for confirmation.

Method of payment – By Bank Transfer

You will bear all additional charges or fees by your bank and/or intermediary banks.

Cancellation by you

You must notify us by email. Your cancellation will take effect the day we receive it. The reservation fee is non-refundable.

You pay any charges or non-refundable deposits that we have paid to third-party suppliers, accommodation providers, and transport operators in association with your tour. Below is the general cancellation policy of the hotels & transport operators.

35 days & above no cancellation fee

21 to 35 days—30%

14 to 21 days—50%

Less than 14 days—100%

You will bear all additional bank charges related.

Cancellation by Trek Lanka

We commit to protecting your booking, but we may cancel your booking if any incidence of natural disasters, exceptional and unavoidable circumstances such as a general epidemic, global pandemic, terrorism, political instability, or other external events beyond our control occur. If we cancel your trip before departure from your home country, we will offer a full refund, less any unrecoverable cost and non-refundable elements, and offer an alternative booking at a later date for your consideration. We are not liable for any additional costs or expenses that may arise during this arrangement.

Travel Insurance

Travel insurance is compulsory, and your travel insurance must provide cover for cancellations, curtailment, and trip interruption because of exceptional and unavoidable circumstances beyond our control, personal accident, death, medical expenses emergency repatriation, personal liability and loss of luggage and personal effects. Before your arrival, you must send us a copy of your insurance cover with the policy number, the emergency telephone number of your insurance company and/or necessary information required by your insurance company in case of emergency and information such as your next of kin details.

Accommodation

Our prices are based on a double or twin-share occupancy basis; one double bed or two single beds in a room. Hotels also provide triple accommodation by adding a rollaway bed to a twin or double-bedded room.

A single supplement is available on request.

In the event of non-availability of rooms in our preferred accommodation stops, we will offer alternative accommodation of a similar standard.

If the alternative accommodation is of a higher standard, you will bear the price difference.

Change of itinerary

While we do our best to operate all our trips as described, we may change an itinerary because of local circumstances or events outside of our control. You will bear any additional costs related to itinerary alterations.

Authority on tour

On all our hikes, an experienced local trek guide will accompany you. The trek guide can change trails depending on the weather of the terrain. The decision of our trek guide is final on all matters likely to affect the safety or well-being of any person taking part in the trip.

On all our classic tours, the authority lies on the chauffeur guide.

Children

Minimum age: The minimum age for children is 12, while a lower minimum age applies to family trips. Parents or designated legal guardians must accompany children under the age of 18.

Maximum Age: We have no upper age limit, though we remind you that our trips can be physically demanding, and you ensure you are suitably fit.

Acceptance of risk

You acknowledge walking activities involve certain elements of risk. You handle your safety. Trek Lanka will not hold responsibility for injury, death, damage, loss, delay, cost, expense, or inconvenience arising from any activities in our programs.

Travel Insurance

Travel insurance is compulsory, and your travel insurance must provide cover against personal accident, death, medical expenses, emergency repatriation, cancellation of your tour, curtailment, personal liability and loss of luggage and personal effects. On arrival, you must provide proof of your travel insurance. You cannot continue the walk or tour without it. Please provide us with a copy of your insurance coverage or policy number, the emergency telephone for your insurance company, or the information required by your insurance company in case of an emergency and information such as your next of kin details.

Photos and marketing

We will ask for your written consent to use images taken during a walk or a tour for advertising and promotional purposes on our website and in any medium we choose.

Passport and visas

You must carry a passport that is valid for six months (180 days) from your arrival in Sri Lanka. Sri Lankan law requires foreign visitors to get an eVisa to enter Sri Lanka. You must apply for your eVisa with the passport and passport number you are travelling with; your visa is linked to this number.

We are not responsible if they refuse you entry to the country because you lack the correct passport, visa or other travel documentation.
