Terms and conditions
a) Trek Lanka (Private) Ltd is a limited liability company incorporated in Sri Lanka under registrar of companies with the registration number PV 81320 and registered with SLTDA (Sri Lanka Tourism Development Authority as a Travel Agency – SLTDA/SQA/TA/01927.
b) In the following Terms & Conditions the term Trek Lanka refers to Trek Lanka (Private) Limited.
c) The “you” is the person or persons who have made a confirmed booking with Trek Lanka.
By booking a trip with Trek Lanka, you are deemed to have agreed to our booking conditions and your booking will be accepted by us on this basis.
All our prices are quoted in USD or EURO. We are committed to maintain our prices once quoted. However we reserve the right to amend prices in the event of significant changes in fuel prices, exchange rates or government taxes.
All our day walks and walking tours are subject to a minimum group size, which is 4 and the maximum will be 10. We may, at our discretion, operate with smaller numbers.
Acceptance of booking and payments
You can book your day walk well in advance by sending our duly filled booking form and does not require payment but we confirm the walk only when we have received payment in full along with your confirmation by e-mail 2 weeks prior to the walk date.
Send in your enquiry at least 3 months in advance by submitting our duly filled booking form. (However we may still be able to entertain last minute bookings subject to availability of accommodation).
Upon receiving your inquiry we will send you a ballpark estimate within 7 working days. Your booking is accepted only after we receive your confirmation by e-mail along with a non-refundable reservation fee of 150 € or 165 USD$ per person. Upon receipt of the reservation fee, we will send you the final cost within 7 working days and start preparing your tour. The balance payment should be made not earlier than 35 days but not later than 21 days before your arrival; otherwise, we reserve the right to treat your booking as canceled. The reservation fee will be forfeited. Your detailed itinerary/roadbook will be sent to you in PDF format one month before your departure.
Bookings made within 30 days of arrival in Sri Lanka, full payment is required at the time of confirmation.

Cancellation by you
You must notify us by email. Your cancellation will take effect the day we receive it. The reservation fee is non-refundable.
Any charges or non-refundable deposits that have been paid to third-party suppliers; accommodation providers & transport operators in association with your tour are payable by you. Below is the general cancellation policy of the hotels & transport operators.
35 days & above no cancellation fee
21 to 35 days – 30%
14 to 21 days – 50%
Less than 14 days – 100%
All additional bank charges related to this will be borne by you.
Cancellation by Trek Lanka
We are always committed to protecting your booking but we have the right to cancel your booking in the event of any incidence of natural disasters, exceptional and unavoidable circumstances such as general epidemic, global pandemic, terrorism, political instability or other external events beyond our control. If we cancel your trip before departure from your home country we will offer a full refund less any unrecoverable cost and non-refundable elements and, whenever possible, offer an alternative booking at a later date for your consideration. We can not be held responsible for any incidental cost or expenses that may occur during such an arrangement.
Travel insurance is compulsory and your travel insurance must provide cover for cancellations, curtailment, trip interruption due to exceptional and unavoidable circumstances beyond our control, personal accident, death, medical expenses emergency repatriation, personal liability and loss of luggage and personal effects. Before your arrival, you must send us a copy of your insurance cover with policy number, the emergency telephone number of your insurance company and/or necessary information required by your insurance company in case of emergency and also information such as your next of kin details.
Our prices are based on a double or twin-share occupancy basis; one double bed or two single beds in a room. Hotels also provide triple accommodation by adding a rollaway bed to a twin or double-bedded room.
A single supplement is available on request.
In the event of the non-availability of rooms in our preferred accommodation stops, we will offer alternative accommodation of a similar standard for your consideration.
If the alternative accommodation is of higher standard the difference in price will be borne by you.
Change of itinerary
While we do our best to operate all day walks and walking tours as described, we have the right to change an itinerary due to local circumstances or events outside of our control. Any additional costs related to itinerary alterations will be borne by you.
Authority on tour
On all our walks an experienced local trek guide and a member of the local community of the area will accompany you. The trek guide can change trails depending on weather conditions of the terrain at any time. The decision of our trek guide is final on all matters likely to affect the safety or well being of any person participating in the trip.
On all our trekking tours the authority lies on the Chauffeur Guide.
Minimum age: Minimum age for children is 12 while a lower minimum age applies to family trips. Children under the age of 18 must be accompanied by their parent(s) or designated legal guardian at all times.
Maximum Age: We have no upper age limit though we remind you that our trips can be physically demanding and you must ensure that you are suitably fit.
Acceptance of risk
You acknowledge that walking activities involve certain elements of risk. You are responsible for your safety. Trek Lanka (Private.) Limited cannot be held responsible for injury, death, damage, loss, delay, cost, expense or inconvenience arising from any activities in our programs.
Travel insurance is compulsory and your travel insurance must provide cover against personal accident, death, medical expenses emergency repatriation, cancellation of your tour, curtailment, personal liability and loss of luggage and personal effects. You must provide proof of your travel insurance on arrival; you will not be able to continue the walk or tour without it. You are requested to leave a copy of your insurance cover or policy number, the emergency telephone for your insurance company or the necessary information required by your insurance company with us in case of an emergency.
Photos and marketing
You grant us a royalty-free license and your consent to using images of you taken during a walk or a tour for advertising and promotional purpose on our website and in any medium we choose.
Passport and visas
You must carry a passport that is valid for six months (180 days) from the date of your arrival in Sri Lanka. Sri Lankan law requires foreign visitors to obtain an ETA (Electronic Travel Authority) to enter Sri Lanka. You are advised to obtain your ETA online before entering Sri Lanka. You must apply for your ETA with the passport and passport number that you are traveling with; your visa is linked to this number.
We are not responsible if you are refused entry to the country because you lack the correct passport, visa or other travel documentation.
