The Company
a) Trek Lanka (Private) Ltd is a limited liability company incorporated in Sri Lanka under the registrar of companies with the registration number PV 81320 and registered with SLTDA (Sri Lanka Tourism Development Authority as a Travel Agency – SLTDA/SQA/TA/01927.
b) In the following Terms & Conditions, the term Trek Lanka refers to Trek Lanka (Private) Limited.
c) The “you” is the person or persons who have made a confirmed booking with Trek Lanka.
Our contract
By booking a trip with Trek Lanka, you are deemed to have agreed to and accepted our booking conditions.
Price Policy
We quote our prices in US$ or €. We are committed to maintaining our prices once quoted. However, we reserve the right to amend prices in the event of significant changes in fuel prices, exchange rates or government taxes.
Group size
Our trips are subject to a minimum group size, which is 4 and the maximum will be 08. We may, at our discretion, operate with smaller/greater numbers.
Acceptance of booking and payments
Day Hikes
You can book your day hike 4 weeks in advance by sending our duly filled booking form which does not require payment but we confirm the hike only when we have received payment in full along with your confirmation by email 2 weeks prior to the walk date.
Multi-day hikes and Walking tours
Send in your enquiry at least 2 months in advance by submitting our duly filled booking form. However, we may still entertain last-minute bookings subject to the availability of accommodation.
Upon receiving your inquiry, we will send you a ballpark estimate within 7 working days. We accept your booking only after we receive your confirmation by e-mail along with a non-refundable booking fee of US$ 200 or the equivalent of € per person. Upon receipt of the booking fee, we will send you the final cost within 10 working days and start preparing for your tour. The balance of payment should be made no earlier than 35 days, but not later than 21 days before your arrival; otherwise, we reserve the right to treat your booking as cancelled. The booking fee will be forfeited. You will receive the detailed itinerary/roadbook in PDF format 2 weeks before your arrival.
For bookings made within 30 days of arrival in Sri Lanka, full payment is required for confirmation.
Method of payment – By Bank Transfer
All additional charges and fees by your bank or/and intermediary bank related to this will be borne by you.

Cancellation by you
You must notify us by email. Your cancellation will take effect the day we receive it. The booking fee is non-refundable.
Any charges or non-refundable deposits that have been paid to third-party suppliers, accommodation providers & or transport operators in association with your tour are payable by you. Below is our cancellation policy.
35 days & above no cancellation fee
21 to 35 days—30%
14 to 21 days—50%
Less than 14 days—100%
You will bear all additional bank charges related.
Cancellation by Trek Lanka
We are always committed to protecting your booking, but we may cancel your booking in the event of any incidence of natural disasters, exceptional and unavoidable circumstances such as a general epidemic, global pandemic, terrorism, political instability or other external events beyond our control. If we cancel your trip before departure from your home country, we will offer a full refund, less any unrecoverable cost and non-refundable elements, and offer an alternative booking at a later date for your consideration. We cannot be held responsible for any incidental costs or expenses that may occur during such an arrangement.
Travel Insurance
Travel insurance is compulsory, and your travel insurance must provide cover for cancellations, curtailment, and trip interruption because of exceptional and unavoidable circumstances beyond our control, personal accident, death, medical expenses emergency repatriation, personal liability and loss of luggage and personal effects. Before your arrival, you must send us a copy of your insurance cover with the policy number, the emergency telephone number of your insurance company and/or necessary information required by your insurance company in case of emergency and also information such as your next of kin details.
Accommodation
Our prices are based on a double or twin-share occupancy basis; one double bed or two single beds in a room. Hotels also provide triple accommodation by adding a rollaway bed to a twin or double-bedded room.
A single supplement is available on request.
In the event of the non-availability of rooms in our preferred accommodation stops, we will offer alternative accommodation of a similar standard.
If the alternative accommodation is of a higher standard, the difference in price will be borne by you.
Change of itinerary
While we do our best to operate all-day walks and walking tours as described, we may change an itinerary because of local circumstances or events outside of our control. You will bear any additional costs related to itinerary alterations.
Authority on tour
On all our hikes, an experienced local trek guide will accompany you. The trek guide can change/amend trails depending on the weather of the terrain. The decision of our trek guide is final on all matters likely to affect the safety or well-being of any person taking part in the trip.
On all our trekking tours, the authority lies on the chauffeur guide.
Children
Minimum age: The minimum age for children is 12, while a lower minimum age applies to family trips. Children under the age of 18 must be accompanied by their parent (s) or designated legal guardian at all times.
Maximum Age: We have no upper age limit, though we remind you that our trips can be physically demanding, and you ensure you are suitably fit.
Acceptance of risk
You acknowledge walking activities involve certain elements of risk. You handle your safety. Trek Lanka (Private.) Limited cannot be held responsible for injury, death, damage, loss, delay, cost, expense, or inconvenience arising from any activities in our programs.
Travel Insurance

Photos and marketing
You grant us a royalty-free license and your consent to use images taken during a walk or a tour for advertising and promotional purpose on our website and in any medium we choose.
Passport and visas
You must carry a passport that is valid for six months (180 days) from your arrival in Sri Lanka. Sri Lankan law requires foreign visitors to get an ETA (Electronic Travel Authority) to enter Sri Lanka. You are advised to get your ETA online before entering Sri Lanka. You must apply for your ETA with the passport and passport number you are travelling with; your visa is linked to this number.
We are not responsible if they refuse you entry to the country because you lack the correct passport, visa or other travel documentation.
